The Problem
First Steps Enterprises, a recruitment and staffing business, had a straightforward but costly problem: every time a candidate submitted an application through their website, an email landed in their inbox. And then a member of staff would manually open that email, read through the applicant's details, and copy each piece of information — name, contact details, experience, availability — into their JobAdder CRM system by hand.
This wasn't an occasional task. It was consuming the equivalent of a full-time role. The sheer volume of applications meant that person's entire day, every day, was spent on data entry — a repetitive, error-prone process that added no real value to the business. Candidate records were sometimes delayed getting into the system, creating lag between application and follow-up. And the business had a skilled member of staff stuck doing something a computer could do in seconds.
The real cost wasn't just the time — it was the opportunity cost. That person could be sourcing candidates, building client relationships, or supporting the wider recruitment team. Instead, they were a human copy-paste machine.
Constraints
- The existing website application form had to remain unchanged for candidates
- JobAdder CRM structure and field mapping needed to be respected exactly
- No disruption to live candidate submissions during the build
- The solution needed to be reliable — a missed application is a missed placement
- Error handling was critical: failed submissions needed to be surfaced, not silently dropped
Our Approach
We started by mapping the exact data flow end to end — what fields were captured on the website form, what the email notification contained, and exactly how JobAdder expected that data to be structured when creating a new candidate record. Getting that field mapping right before writing a line of code was essential.
From there, we built a custom integration layer that sits between the website and JobAdder's API. When a candidate submits an application on the First Steps website, a webhook fires immediately — the application data is captured, validated, mapped to the correct JobAdder fields, and a new candidate record is created in the CRM in real time. The whole process takes seconds and requires zero human involvement.
We built in robust error handling throughout: if a submission fails for any reason — a field mismatch, an API timeout, anything unexpected — the team is alerted automatically so nothing slips through. We tested across a range of candidate scenarios before going live, and the handover included full documentation so the team understood exactly how the integration worked.
Results
The manual data entry process was eliminated entirely. Candidate applications now flow from website to CRM automatically, in real time, with no staff involvement. The member of the team who had been doing this work every day was immediately freed up to focus on higher-value activity — work that actually moves the business forward.
